Budgets and Costs

Every event costs money. The trick is to know before the event what it will cost. A Grand Prix / Pinewood Derby involves expenses in several areas:
car kits,
awards,
snacks,
equipment. The
Grand Prix Organizer helps you identify these costs and keep track of them. Then, at the end of the event, document it all with
reports to help you next year.

Car kit costs
Identify how many racers you will have, the cost of a box of car kits and the number of cars in a box.
The cost estimator calculates how much your car kits will cost.
Clicking on "Other Costs" allows you to identify the costs of awards and other miscellaneous items.
The cost calculator allows provides a minimum price to assign to your car kits, but allows you to set the final price.

Award costs
Add trophies, pins, badges, caps, T-shirts and other types of awards to your cost estimate.
The cost is transferred to the Car Cost estimate screen.

Snack costs
You identify the types of snacks for your event along with the number of people you expect and the number of servings to each person.
The
snack ticket allow you to control how many servings each attendee receives. You can sell the snack tickets or give them away free.
The snack cost estimator calculates your net profit or loss on snacks.

Equipment costs
You can beg, borrow or steal equipment (just kidding about the steal part), but if you pay for it, you want to keep track of its costs.
The Equipment & Miscellaneous screen keeps track of how much money is spent on rentals and equipment procurement.

Reports
After everything is over and all the racers go home, document the event with reports that tell you how much you estimated for quantity and costs for each item.
Pencil in actual costs and quantities along with notes.
Use these documents next year to do it better.
